The process

Measure. Map. Rebuild.

Every Levatio engagement follows the same three phases. No methodology invented for the pitch - the tools you use during the audit are the same tools we use to build the automation.

01

Measure

You time it. We baseline it.

The scope interview captures the process you want to improve - its name, how long it takes to run, who does it, how often, and where it stalls. Nothing is assumed. You either time it live using the in-browser timer, or enter your own estimate. The result is a single data point: the true cost of one run of this process, expressed in minutes and staff level. That number becomes your before state.

What we capture

  • Process name and description
  • Live timer or manual time estimate
  • Staff level (sets cost per hour)
  • Run frequency (daily / weekly / monthly)
  • Bottleneck description in plain language

02

Map

We find your bottleneck AND the critical path.

Your bottleneck description and process details are analysed to identify where the delays actually live - approvals, data re-entry, handoffs, or waiting on external systems. This isn't a template; it's a diagnosis specific to your process. From that, we build a TIPOV process template with you: Trigger, Input, Process steps, Output, and Value. This is the document that makes automation possible - you can't automate what you haven't defined.

What we capture

  • AI analysis of bottleneck and goal
  • Critical path identification
  • TIPOV process template (co-built with you)
  • Automation candidate scoring
  • ROI estimate: hours saved per month

03

Rebuild

Automation built on your baseline, not our assumptions.

Levatio builds the automation against the documented process. Not a generic workflow - one that matches the trigger, inputs, decisions, and handoffs defined in your template. When it's deployed, you measure again. The before and after are real numbers from the same tool you used at the start. No promises. No projections. Just the delta.

What we capture

  • Automation built from TIPOV template
  • Deployed and measured against original baseline
  • Before / after comparison in hours saved
  • Handover documentation included
  • Ongoing optimisation available

Common questions

Most asked

Why can't I just ask ChatGPT or Claude to build this myself?

You often can, for a first version. Modern AI is good at turning a clear description into a working tool. The hard part is everything around it.

To run a real business process on it, you need two things the AI won't hand you. First, a solid grasp of what the tool is actually doing, so you can tell when it's right and when it isn't. Second, the infrastructure to keep it running: security updates, monitoring, error handling, and maintenance for when something upstream quietly changes and breaks it.

That is the part Levatio owns. We don't hand you a script and wish you luck. We replace a process you already run, prove it works on your own inputs, then host it, monitor it, patch it, and maintain it so you can depend on it week after week.

There is also a trust question underneath this one. This is a business-as-usual process, something your operation relies on. If you don't understand how the AI is running it, handing it that responsibility is a big leap. We keep the process auditable and accountable, so depending on it isn't a leap at all.

Isn't this just an AI chatbot with a consultant attached?

No. AI is a tool we build with, not the thing we sell. What you get is a proven, hosted, maintained replacement for a specific process, with someone accountable for keeping it running. The technology underneath can change; your dependable process doesn't.

What happens when the automation gets something wrong?

We monitor every live automation, log what it does, and alert on errors. The first runs after go-live get extra attention while we confirm it behaves on your real inputs. You're never left holding a silent failure.

How much does it cost, and when do I pay?

Two parts: a one-off build fee set at the automation's worth on an 8-week payback baseline, derived from your own measured numbers, and a low monthly hosting subscription from S$10 that covers running, monitoring, and maintaining it. You pay after sign-off, once the replacement is proven on your own inputs. No payment up front for a promise.

Is this only for large businesses?

No. Levatio works best with businesses that have between 5 and 200 people - large enough to have repeating manual processes, small enough that one improved process makes a real difference. If you're running the same task more than twice a week, it's worth measuring.

Do I need technical knowledge to use the tool?

None. The scope interview is designed for anyone who runs a process, not the person who builds software. If you can describe what you do in plain language, you can use it.

What kind of processes can Levatio improve?

Anything that repeats: invoice processing, client onboarding, report generation, staff scheduling, data entry between systems, approval workflows, purchase orders. If it involves people following the same steps more than once, it can be measured and likely automated.

How long does the scope interview take?

Two minutes on average. The only required field is the process name. Everything else - the timer, frequency, staff level, bottleneck - adds precision, but you can skip any step and still get a useful result.

What happens after I submit?

Your answers go directly to the Levatio team. If you provided an email address, you'll receive a copy of your summary immediately. We'll follow up within one business day to discuss the analysis and next steps. No automated pitch sequences - a real conversation.

The audit is free. Two minutes. No account.
